Renew Repeating Jobs
Once you have your Repeating Jobs all set up in your schedule, it is quite easy to replicate that same pattern moving forward. This process is often done at the end of the year to get the new year ready to go. In other words, when you first create a repeating job (assuming it will continue into the next year), set the repeating date to be 12/31 of the current year. This will populate your jobs through the current year and get all things prepared so you can easily renew them as a batch transaction. The Renew Repeating Jobs process will repeat the jobs for the entire following year, based on the repeating pattern that you have in place for the jobs.
To perform the group renewal, go to the Hub and select Renew Repeating Jobs under the Tools section. You have two dates that you can enter to capture the group of jobs that need to be renewed. There are also a few quick-links that will put in dates for you. It is important to understand that only Repeating Jobs that have their last instance between these two dates will be included in this Auto Renew process.
You can also limit the renewal to a specific customer by entering their name in the Customer textbox.
Click the [Find] button to see all Repeating Jobs that match the criteria that you have set.
Once you are ready, click the [Auto Renew] button and all jobs in the list will be renewed through the end of the following year. Depending on the number of jobs you have and their frequency, this process could take quite awhile to complete. BizScheduler will give you the message, "Do not click the Auto Renew button again until you receive the email," and will send you an email when the process has been completed. So while you wait for that email you can now go back and do other work within BizScheduler. Our servers will let you know when everything has been completed.
For those jobs that you do not want to repeat, you should always have a last Repeating Job that you Cancel, so you know that the repeating is all finished. Then you can select the checkbox for Do not renew Repeating Job if last scheduled job is cancelled. This gives you much greater control over the Renew Repeating Jobs process. You need to make sure that you also run a listing of Cancelled jobs for the time period that you have selected to make sure that you don't have any customers that had a Cancelled job that still need to be repeated. For those, you can either use the standard Repeating Job process from their job or you can run this process once again. Include their name in the Customer textbox and un-check Do not renew Repeating Job if last scheduled job is cancelled. After you click the [Find] button this time, and confirm that the jobs listed are all jobs to repeat, you can again click the [Auto Renew All] button to run the process.
This process is ignored for Repeating Jobs that have the Auto Repeat feature enabled. If your repeating jobs don't need a specific end date, the Auto Repeat feature may be a much better solution for you.
