Make a Worker Inactive
When a person is no longer working for you, you will want to make sure that they are no longer able to log into BizScheduler. Then you can Reschedule any jobs that they were scheduled for in the future to someone else. Let's go with first things first...
Remove a Worker's Access to BizScheduler
First, remove a person's ability to access BizScheduler. This is both for your protection and for theirs. To do this, go to the Worker screen and Find their worker record. You can either click on their Display Name at the top of the Daily or Weekly views of the Calendar, or go to the Hub and select the Workers link under the Tools section.
Once you have their Worker Record displayed, uncheck any Areas that they have Access to, and then Save their Worker Record:
By doing this, their Access to anything in BizScheduler is terminated and any attempt to open, save, or in anyway to access BizScheduler will result in them being returned to the Login Page. In the situation where you need to terminate a worker, we advise that you do this step before any other action is taken.
Delete a Worker or Make Inactive
If this worker has any historic information in BizScheduler...they entered any data, were the worker on any jobs, or assigned any tasks, you will not be able to Delete them. They are part of the very real history of your data in some way. If they were created by accident, or never hand any impact on the data of your system, you can click the [Delete] button at the bottom of the Worker screen to remove them entirely from BizScheduler.
That said, if you click the [Delete] button at the bottom of their Worker screen, you will probably get an error message, something like this:
Your other option is to make the worker no longer active, by making sure the Active checkbox is not checked and then saving the record by clicking [Save] or [Save and Return]. If, however, the worker is scheduled for jobs in the future, you will get the following error when you attempt to make them inactive:
Rescheduling a Workers Future Jobs
As the above message suggests, the best way to Reschedule future Jobs from a worker leaving the company to another worker is to use the Multi-Job Mover tool. You can get to it from the Hub by clicking the Multi-Job Mover link under the Tools section and following the instructions. The following video will take you through the entire process:
Since there could be a job that was inadvertently created way out in the future, it may be a good idea to also use the Custom Search tool of BizScheduler. Here are the basic steps you should follow:
- Go to the Hub and click the Custom Search link under the Tools section
- Click the [Clear Search] button at the bottom of the screen so that prior settings don't cause you any confusion
- Check the boxes for the customer Name, the Worker that you are looking for, and the Job Date Between
- Set the Job Date Between values to have today's date (or the earliest date you want to include for potential results) as the from date and leave the through date field blank. By leaving the second Date filed blank, the result will have all jobs starting today and will include any jobs in the future...no matter how far in the future they might be
- Click the [Find] button and you will get the list of jobs that you need to either delete or reschedule to another worker
Once you have cleared those connections between the worker and future jobs, go back to the Worker Information Screen and make the Worker inactive by unchecking the Active checkbox. Then you should be able to save the record successfully.
