Google Calendar Authorization and Sync

Introduction

The Google Calendar Authorization is a one-way sync from BizScheduler  to an authorized Google Calendar account. When enabled, jobs that are created or updated in BizScheduler  will automatically appear on the authorized user's calendar. The following video will take you through the basic setup and implementation, also covered in the text below.



Authorization

To enable Google Calendar Sync for your BizScheduler, you must first provide authorization:
  1. Log in and go to the Hub
  2. Under the Integrations section, click Google Calendar Authorization
  3. Click the Authorize button and enter the Google login credentials for your account
  4. If you get a warning screen that Google hasn't verified this app, click "Advanced" and then click "Go to mybizscheduler.com"
That completes the Authorization for the connection. You will then see your Connected Google Account at the top of the screen followed by a set of Sync Options.

Calendar to sync

Select the name of the calendar you'd like BizScheduler  to sync to from the dropdown box. It is recommended that you create a new calendar in Google Calendar specifically for BizScheduler . This way all events created by BizScheduler  exist on their own calendar. This dedicated calendar can be shared with subcontractors and others who only need to see what's scheduled. Then, in the future, it can be easily deleted if it is no longer needed. 

Sync jobs up to

While most operations in BizScheduler (like saving or rescheduling a job) are reflected instantly in Google Calendar, some changes will not be immediate. Every few hours, BizScheduler syncs these outstanding changes to Google Calendar for jobs in the range you specify. The typical range for syncing is 1 week, while the largest range for syncing is 12 months in the future. To force a job to be updated in Google Calendar immediately, navigate to that job in BizScheduler and click Save or Save & Return.

Invite workers

If this option is set to Yes, BizScheduler will add relevant workers as attendees for Google Calendar events. Attendees will receive email invitations and updates for each event. Please note that there is a worker-specific permission setting called Google Calendar Email Invites that determines whether a worker will be invited. The default for this permission is no (unchecked), so you will need to turn it on for any workers you wish to invite. Each worker can also go to the settings in their own Google Calendar accounts and add these events directly to their calendars, as well as turn email notifications on and off.

Using Google Calendar Sync

After saving the Sync Options, there should be a Google sync icon () that appears on the bottom left of the Google Calendar Authorization page in BizScheduler. This indicates that Google Calendar Sync is active for all of your jobs in BizScheduler.  

When Google Calendar Sync is first enabled, it begins to create all of your future jobs on your linked Google Calendar. If there are a large number of upcoming jobs to sync, it can take several hours for BizScheduler to fully synchronize with Google Calendar. BizScheduler will not automatically sync jobs that are in the past. If there are jobs in the past that you want to appear on your Google Calendar, you will need to individually Save each one again to trigger the sync operation for any prior jobs.
