Customer Email Addresses

BizScheduler allows you to manage multiple email addresses on the Customers screen. Email addresses can be added and deleted just like phone numbers using the add and delete icons. The Email Display field defaults to the associated customer name and will appear in place of the email address in the recipient’s email program. In addition, each email address can be customized to use different Email Purposes which dictate how the emails will be utilized throughout BizSchedulerA brief description of each purpose can be viewed by moving the mouse over the corresponding label on the Customers screen.



 For customer emails, the following purposes can be specified:
  1. The Bulk Email purpose allows you to customize which email addresses receive communications from the Custom Search and Compose Email screen. 
  2. The Estimates purpose dictates the default email addresses which will be used when sending estimates to a given customer. While these emails will be selected by default, the recipient list can also be adjusted manually on the Email Estimate screen.
  3. The Invoices purpose indicates which emails to send invoices to. When sending a Quick Invoice from the Job Info screen, the To and CC fields can be customized in the same way as Estimate emails.
  4. The Notifications purpose determines the recipient list for email notifications for each customer. To verify that the recipient list is correct, notifications for each job can be previewed by clicking the eyeglasses icon in the notifications section of the Job Info screen.                       
              

Finally, Estimates and Quick Invoices can be sent to a custom recipient list. For example, the following images detail the process of modifying the recipient list from the Email Estimate page.
  1. On a new estimate, the To field contains only email addresses with “Estimates” selected in the customer record. To edit the To list, or add a CC or BCC, click the corresponding label (outlined in red).
                        
            
  1. After clicking the To field, the following popup is displayed. The recipient list for the To field can be modified by checking or unchecking the box next to an email address. Any customer emails that do not have “Estimates” selected will appear in the list but will be unchecked by default. Emails for the currently logged in user will also appear under Worker Email Addresses.
            
            

  1. To add a custom one-time recipient, enter the email address and display name, then press the green plus to add it to the list.



  1. The custom recipient has been added to the list and is checked by default. 



  1. Finally, after closing the To window, the new To list is displayed on the Email Estimate page
